Deployment of Laptops to Classrooms (Grade 3 Only) 


General description of the process.  
  • Macbook laptops will be delivered to each homeroom teacher.  Teachers will store laptops and chargers overnight and distribute to students daily as needed.

What needs to happen prior to distributing laptops to classroom teachers? 
  • Macbook laptops must be "bound" to the local school network.  This is a scheduled event, done by a team of technicians on site. 
  • Inventory must be allocated based on student enrollment per teacher.  Individual asset numbers will be assigned using the Destiny Textbook Program to the appropriate teacher.

  • User accounts must be created for all students.  This is done by Education Technology.  A list of students will be printed for use during deployment.  This list must be only used by staff, and discarded/shredded after use.  Care should be taken to not expose the list to students.  
  • A date should be scheduled for deployment in order to ensure a technician will be available to assist with any technical issues, and an ITS will be available to help with student orientation.  To schedule a date, email Curt Smith at rcsmith@bcbe.org  


What happens during deployment to teachers? 

  • At least one day prior to giving to students, distribute to each classroom 2 plastic crates for storage, a laptop for each student, a charger for each laptop, and 3 APC brand surge protectors/extension cords to be used for overnight charging.

  • The teacher should charge all of the laptops to ensure they are ready for use the next day when students will use for the first time.  
  • Students will be presented with laptops in the classroom.  Teachers will have list of usernames for students, and technicians will be available to help as needed with login problems.  ITS will work with teachers to provide basic orientation to students.
Deployment of Laptops to Classrooms (Grade 4-6 Only)  
 
General description of the process. 
Deployment to grades 4-6 will be a big deal.  Sufficient staffing and planning needs to be in place to make sure the process goes well.  Schools would do well to adopt a systematic approach to the day, where everyone involved in the process is aware of their role.   
 
What needs to happen before distributing laptops to students?  
  • Macbook laptops must be "bound" to the local school network.  This is a scheduled event, done by a team of technicians on site.  
  • Inventory must be entered into the Destiny Textbook program so that it can be assigned to students.  (Curt from ET does this for the school) 
  • Network accounts must be created for all students.  This is done by Education Technology.  A list of students will be printed for use during deployment.  This list must be only used by staff, and discarded/shredded after use.  Care should be taken to not expose the list to students.  
  • Various accessories and forms must be delivered to the school.  These would include Laptop Assignment Forms, Backpacks, and ID tags for backpacks. 
  • A date should be scheduled for deployment in order to ensure a technician will be available to assist with any technical issues, and an ITS will be available to help with student orientation.  To schedule a date, email Curt Smith at rcsmith@bcbe.org   
  • Parent Orientations should be offered, monies collected, and forms signed. 
  • Student eligibility data should be entered into INow by the Registrar.  A doc is available to help with data entry at http://et.bcbe.org/documents--forms.html  (The doc is called INow Quick Data Entry) 

What happens during deployment to students?
There are several steps in the process to issue a student a laptop.  It would be a great idea to have a person assigned to each step, and cycle the student's through the steps.  Consider setting up stations in the library and having students cycle through, perhaps one homeroom at a time.

Here is what happens, in this order:
  1. Student is found to be eligible to receive a laptop.  If the data has been entered into INow correctly, then the school can produce a report easily. 
  2. Student is issued a backpack.  Place an id tag on the backpack strap, write the student's name on tag with sharpee. *Note - there is a small bag of dessicants (like a small bean bag, used for moisture control when shipping) inside each backpack.  You will want to throw these away if at all possible before giving to students.  The small beads in these bags may get into the laptop and cause damage. 
  3. Student is issued a laptop.  Laptop Assignment Form is completed.  Mandatory information to be completed on form is student's name, laptop asset number, condition of equipment issued, and signatures of student and staff issuing the laptop.  Copy of form is given to student, and remaining 2 copies filed in Cumulative Records Folder by Registrar. (Note - it is not necessary to write serial numbers of laptop and charger on the form)
  4. Laptop is scanned out to student in Destiny program.  If students have their lunch cards with them, this process will be easier. Watch a short video on how to check out laptops to students using Destiny! 
  5. Student sits down and attempts initial login to computer.                                                                                       * You will have a list of usernames for students, but in general a student's username is FirstName.LastNameBirthMonthBirthDay                                                                                                           So for example, John Smith was born on Jan 13.  His username is john.smith0113  It is very important that when prompted the student selects the option to CREATE A MOBILE ACCOUNT!  Staff should be on hand to assist with logins, and to notify Ed Tech Support if problems exist with a student's account or any other technical problems.

Any surplus inventory left after deployment must be stored securely in a central location, managed by the primary support person for the school (STC or other designated staff).
