Preparation for Collection

·       Communicate to parents dates for collection.  Remind them/students that on day of collection they need to bring their backpack, power adapter, and laptop.  Encourage students to keep backpacks and headphones over the summer.  (This will also allow them to have backpacks they can use at school for the days remaining after collection)

·       Ask students to remove (and keep) covers from their laptops before they turn them in.  This will help you in several ways, not the least of which is that you will not have to remove the cover yourself!   

·       Plan for a good location for collection to take place.  The library might be a good choice, but any room should do.  

·       You will want to have a table for each staff member who is collecting.  

·       They will need an extension cord/surge protector in order to plug in and test power adapters and laptops.

·       Have empty milk crates available to store laptops and power adapters.

·       Have a computer (teacher laptop is fine) and barcode reader set up to check in laptops on Destiny.

·       Have original "Laptop Assignment" forms ready and organized so that you can check-in the laptop, sign, and give a copy to the student as they turn in.

·       Have "Notice of Indebtedness" forms ready for cases where damage or loss is noted.

·       Have a sharpee marker ready.  If asset tag (barcode) is missing, write the asset number on the bottom of the laptop.

·       Have a special area for storing damaged laptops, so that it will be easier after collection to open support tickets for them.

·       Have a camera (smart phone, camera on laptop, ipad, etc...) available in case you need to document damages for parents.

·       PEOPLE!  Make sure you are properly staffed to get the laptops checked in before the end of school.  (Our best estimate is ___ man hours per 100 laptops.  Best case for one laptop is 2 minutes.  Worst case can be ____ minutes.) 

·       When done, be sure to store laptops in a secure room for storing over the summer.
